Before booking with Coast to Coast Equine Transport Ltd, please take a moment to review our comprehensive terms and conditions. These guidelines are designed to ensure clarity, fairness, and the highest standards of service for all our clients and their horses. Your agreement to these terms is essential for a smooth and secure transport experience.

Understanding your booking and our commitment

It is crucial that all customers fully understand and agree to our terms and conditions before confirming any booking for our horse transport services. These terms outline your responsibilities and our commitment to providing safe, reliable, and professional equine transport. By proceeding with a booking, you acknowledge that you have read, understood, and accepted these terms. We aim for transparency in all our dealings, ensuring a clear and trusting relationship with every client.

Cancellation and booking change policies

We understand that plans can change. If you need to cancel or modify your booking, please notify us as soon as possible. Our policy states that the deposit will be fully refunded if the cancellation is made at least 7 working days before the scheduled transport date. For cancellations made within 7 working days, the deposit may be retained. In cases of unexpected delays on our part, we will communicate promptly and work to minimise any inconvenience, offering alternative arrangements or refunds where appropriate.

The well-being of your horse is our utmost priority. We employ experienced and qualified handlers and use vehicles specifically designed for safe equine transport. We are committed to providing the highest level of care throughout the journey. To offer you complete peace of mind, we are happy to present all our qualifications upon request, demonstrating our expertise and dedication to the safe and humane transport of all horses in our care.

Payment terms 

We offer flexible and secure payment options for your convenience. Payments can be made via bank transfer The full payment is typically due prior to transport, unless otherwise agreed upon in writing. Regarding refunds, these will be processed promptly according to our cancellation policy. If a refund is due, it will be issued via the bank transfer payment method where possible, - 15%  for late cancellationsand we aim to complete all refund transactions within 7 working days. TERMS & CONDITIONS

By accepting a quote and confirming a booking, the Client agrees to the following terms.

1. BOOKINGS, DEPOSITS & CANCELLATIONS

Bookings – Cost of transport quoted is based on the information given by the customer at the time of quoting/booking.

Waiting Time – £10 per hour after any agreed time between client and transporter.

Who Can Book – All bookings must be made by an adult over 18. Any booking for a person under 18 must have a parent or guardian with them at all times.

Payment – A 25% deposit is required to secure your booking and date. Full balance is due on the day of transport by cash or bank transfer before the transporter leaves the drop-off point.

Cancellations – 7 or more days’ notice = FULL refund of deposit. Less than 7 days’ notice = 25% cancellation fee (deposit retained).

Change of Date – Minimum 7 working days’ notice is required to move your booking.

 

2. HORSE WELFARE, RISK & LIABILITY

Honesty is Essential – Please disclose your horse’s experience (good and bad). If the driver feels it is unsafe to transport, the pre-agreed cost is still payable.

Loading – We take our time to load safely and positively. If a horse cannot be loaded, 50% of the agreed transport cost is payable.

Risk – Transport is at the client’s own risk. We strongly recommend appropriate insurance. We are not liable for injury, illness or death unless proven negligent.

Client Liability – The client is personally liable for their horse(s) during transport.

Care, Custody & Control Insurance – Provided up to a limit of £10,000. By booking, the client accepts this level of cover.

Veterinary Treatment – We may contact a vet for treatment or sedation if needed for welfare or safety. The client is liable for all veterinary costs and any delays or increased mileage.

 

3. TRAVEL REQUIREMENTS & CLIENT RESPONSIBILITIES

Addresses & Contacts – Full details of the owner, collection and destination addresses (including contact numbers) must be provided at least 24 hours before collection.

Condition to Travel – All horses must be fit to travel. We reserve the right to refuse transport if a horse is unfit. An aborted collection fee may apply.

Passports – Horse passports must travel with the horse (legal requirement under the Horse Passports (England) Regulations 2004). Exception: emergency veterinary transport only.

Vehicle Access – Suitable access for a 3.5-tonne horsebox with a left-hand side ramp must be available. We may request an alternative loading area if access is unsuitable.

Travelling in Lorry – No passengers are permitted in the horse area. CCTV is available to monitor horses during transport. Clients travelling in the cab do so at their own risk.

Tack & Equipment – Tack and equipment can be transported, but any loss or damage is at the client’s own risk.

 

4. DAMAGES, WEATHER & OTHER IMPORTANT TERMS

Damages – The client is liable for repair costs if our horsebox is damaged by their horse(s). Please inspect the vehicle before travel and report any existing damage. Deep kick marks, rips, tears or damage to mats or walls will be charged to the client.

Weather – For safety, we do not travel during severe snow, ice, high winds, storms or extreme heat. Bookings will be moved to another date without charge.

Delays – Journey times are approximate and subject to traffic and other circumstances. We are not liable for late arrival or any loss of entry fees, stud fees or related expenses.

General Wear & Tear – Normal wear and tear is expected and will not be charged.

Acceptance – Accepting a quote and confirming a booking means you agree to these Terms & Conditions in full.
